How Many Gallons Should You Actually Lock? Sizing a Fuel Commitment from Your Own Records

Start with whatever payment trail your fuel already leaves. Fuel card statements are the cleanest source, since they list gallons directly. Bank and credit card statements work next best: pull the fuel purchases for a few recent months and divide dollars by the rough per gallon prices of those months to approximate gallons. A shoebox of receipts works fine too, it just takes an evening. For equipment fueled from transfer tanks or drums, the fills of the tank itself are the record, and whoever does that run knows the rhythm by heart.

Aim for a typical month, not a perfect one. Three to six months of history smooths out the freak weeks, and if your work is seasonal, note the seasonal months separately rather than averaging them away, because the season may deserve its own agreement sized to its own burn.

Honest sizing beats optimistic sizing

Size the commitment to the volume you are confident you will use, not the biggest month you can imagine. The locked maximum applies to prepaid gallons, so the useful question is what the business reliably burns across the term. If your months swing between a floor you always hit and a ceiling you sometimes reach, the floor is the natural number to lock, with the swing months simply buying their extra gallons at the pump as usual. Operators who want the peak covered too can take a second, shorter agreement over the peak season, sized separately, since each quote is its own request.

Split the number by fuel while you are at it. Diesel trucks and gasoline vans get quoted independently in the same request, each with its own real figure, so a blended total is less useful than two honest ones. Off-road diesel is among the listed fuel types if your equipment burns it.
